From problem to solution
Every solution begins with a concrete starting point. What matters is how it becomes an implementation that works reliably in everyday use.
01Challenge
The mail server was located at the company premises and therefore depended entirely on the limited local internet connection. During periods of high utilization, email delivery and synchronization sometimes took up to 15 minutes, making field work particularly difficult. Large attachments and customer correspondence also caused mailboxes to grow rapidly, while the company lacked central cloud storage, resilient backups and a consistent security concept.
02Implementation
The existing infrastructure, data volumes and working practices were assessed and translated into a new operating and security concept. This formed the basis for an externally hosted server environment at Hetzner, where more than 150 gigabytes containing around 80,000 emails were migrated over one weekend and subsequently verified. Nextcloud was introduced as the central data store and configured across employee devices. RAID 1, incremental backups every two hours to a separate server, a firewall, secured access and monitoring provide a transparent and resilient operating environment. Standardized email signatures also ensure that the required company details are included consistently.
Outcome
What improved in everyday work
Email and company data are now reliably accessible to office and field staff without depending on the local connection. Central cloud storage reduces the need for large email attachments, while separate backups, monitoring and secured server access improve operational resilience and data protection. The fully migrated infrastructure went live on schedule and can be maintained and extended over the long term.
- Email is provided centrally without depending on the local internet connection
- More than 150 gigabytes and around 80,000 emails were migrated in a controlled process
- Nextcloud makes company data centrally available to office and field staff
- All relevant data is backed up to a separate server every two hours
- A firewall, secured access and monitoring improve operational resilience
