Project delivery

From problem to solution

Every solution begins with a concrete starting point. What matters is how it becomes an implementation that works reliably in everyday use.

01Challenge

Jitsi was already established as the meeting tool and familiar to customers, but it provided no automated way to process the conversations afterward. Following each appointment, employees spent around half an hour summarizing the discussion, creating documentation and transferring relevant information into Confluence or other project systems. This made follow-up work time-consuming and highly dependent on the individual care of each employee.

02Implementation

The existing Jitsi workflow and its recording capabilities were analyzed and extended with an automated processing flow. After a meeting is recorded, the audio and video are prepared, the conversation is transcribed and AI transfers the content into a reliable predefined structure. This produces a consistently designed summary for email delivery. The recording is stored securely in OneDrive and included through a sharing link. When the application identifies an agreed follow-up appointment or relevant project context, it connects to the internal calendar or Jira and initiates the appropriate next steps.

Outcome

What improved in everyday work

Meeting follow-up now begins immediately after the call and provides a consistent summary together with a link to the recording. Agreed follow-up appointments can be added directly to the calendar and invitations sent automatically. Relevant project information can be assigned to the appropriate context and processed in Jira, while employees save around half an hour of manual follow-up work per meeting.

  • Recorded Jitsi meetings are transcribed and structured automatically
  • Participants receive a consistent summary with a link to the recording
  • Detected follow-up appointments are added to the calendar and sent as invitations
  • Relevant project context is assigned and can be processed in Jira
  • Employees save around half an hour of manual follow-up work per meeting
