Project delivery
From problem to solution
Every solution begins with a concrete starting point. What matters is how it becomes an implementation that works reliably in everyday use.
01Challenge
Quotations, invoices and day-to-day communication all arrived in the same central inbox. Important requests could easily get lost, responsibilities had to be clarified manually and deadlines were tracked separately. This delayed quotations and left the accounting team with repetitive sorting and data-entry work.
02Implementation
The project began by analyzing the types of incoming email, internal responsibilities and the workflows that followed each message. Based on those findings, an AI-assisted process was created to classify messages, capture relevant information and determine whether a reply or further action is required. Quotations and invoices are routed into the appropriate business process. Attachments are transferred to connected systems, the responsible person is identified by subject area and time-critical quotations are prioritized in the project management tool. An internal processing history records the sender, recipient, status and completed handovers. Processed messages are then moved automatically into the appropriate folders.
Outcome
What improved in everyday work
Quotations reach the right specialist sooner, are scheduled by urgency and can in some cases be processed automatically. Invoices are transferred to accounting in a structured form and matched to the relevant transactions with AI assistance. The central inbox remains organized, while requests that need manual review stay visible and every processing step remains traceable.
- Quotations are assigned to the responsible specialists and prioritized more quickly
- Invoices are prepared automatically for further processing in accounting
- The application automatically identifies whether a reply or further processing is required
- Requests requiring manual processing remain clearly visible
- Every processing step remains fully traceable
